V7 Events Privacy Policy
Effective Date: The date and time you first submit an RSVP/registration, join a waitlist, purchase or receive a ticket, check in, or otherwise use any Event Services for a V7 Event (the “Effective Date”).
This Events Privacy Policy (this Policy) explains how Ventra7, LLC (Ventra7, V7, we, us, our) collects, uses, discloses, retains, and protects information in connection with any and all events hosted, produced, sponsored, or co-hosted by V7 (each, a V7 Event) and related RSVP/registration, ticketing, check-in, event communications, and event web pages (collectively, the Event Services).
Event-specific details (such as date, location, agenda, venue rules, and any co-hosts/sponsors) may be provided separately in invitations, registration pages, confirmations, tickets, QR codes, badges, on-site postings, or other event materials (the Event Details).
By submitting an RSVP/registration form, checking an “I agree” box, signing in at check-in, using any Event Services, or attending a V7 Event, you acknowledge you have read and understood this Policy.
1. Scope
This Policy applies to Personal Information we collect:
- through RSVP/registration forms, waitlists, and check-in (including electronic forms/checkbox acceptance);
- through communications (email, SMS/text, phone, messaging platforms) related to V7 Events;
- on-site at a V7 Event (including badge scans, access logs, and incident reports);
- on event landing pages and related websites where this Policy is posted or linked (including cookies and similar technologies); and
- from other sources described in Section 4.
This Policy does not control third parties’ privacy practices (for example, a venue, co-host, sponsor, ticketing provider, payment processor, or social media platform) unless and only to the extent their processing is performed on our behalf under contract. When we share data with third parties that use it for their own purposes, their privacy policies apply to their use.
2. Key Definitions (California CPRA-Aligned)
- Personal Information means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular individual or household.
- Sensitive Personal Information (or Sensitive PI) has the meaning under the California Privacy Rights Act (CPRA) and may include government identifiers, precise geolocation, login credentials for accounts, racial or ethnic origin, religious or philosophical beliefs, union membership, contents of certain communications, biometric information, and health information, as applicable.
- Service Provider and Contractor have the meanings under the CPRA and refer to vendors that process Personal Information for V7 under written contractual restrictions.
- Sell and Share have the meanings under the CPRA. “Share” includes disclosure for cross-context behavioral advertising (targeted advertising).
3. Categories of Personal Information We Collect
The categories of Personal Information we collect depend on how you interact with the Event Services and what you choose to provide.
3.1 Information you provide directly
- Identifiers: name, email address, phone number, mailing address (if provided), RSVP status, attendee/guest list status, ticket/credential identifiers, and similar identifiers.
- Professional or employment-related information: company/organization, job title, role, industry, and business interests (if provided).
- Event preference information: dietary preferences/restrictions, accessibility accommodations, session selections, and networking preferences.
- Information about others: information you provide about a guest/plus-one, colleague, or referral (where permitted), including their name and contact details.
- Communications: messages you send to us and content you provide in surveys, forms, or feedback.
- Age/eligibility verification (alcohol access): confirmation you are 21+ and, where applicable, limited ID verification attributes (such as ID type and verification result). We generally do not request a copy of an ID unless expressly stated at collection; if you provide it, we may treat it as Sensitive PI where applicable.
- Payments (if applicable): if you purchase tickets or merchandise, we and/or our payment processors may collect payment-related information. We typically do not store full payment card numbers if processed by a third-party payment processor.
3.2 Information collected during check-in and on-site
- Check-in and attendance data: entry/exit times, badge scans, session attendance (if applicable), access logs, wristband/credential issuance, and operational records.
- Safety and security information: incident reports, policy enforcement notes, and security logs (as necessary for safety, compliance, and operations).
- Audio/visual information: photographs, video, or audio recordings captured on-site.
3.3 Information collected automatically online
- Internet or other electronic network activity information: IP address, device identifiers, browser type, operating system, referring URLs, and interactions with event landing pages and registration flows.
- Approximate location: inferred from IP address.
- Cookies and similar technologies: see Section 10.
3.4 Inferences and derived data
We may generate inferences from other Personal Information (for example, inferred interests, event engagement, or likely preferences) to personalize communications, improve events, and measure performance.
3.5 Sensitive Personal Information
We may collect limited Sensitive PI where necessary and proportionate, such as dietary/allergy information or accessibility accommodations you provide, and certain age/ID verification information as described above. We may also process Sensitive PI as otherwise permitted by applicable law.
4. Sources of Personal Information
We may collect Personal Information from the following sources (as permitted by law):
- You (RSVP/registration, check-in, communications, surveys, forms).
- Affiliates and related entities.
- Event partners, co-hosts, sponsors, and organizers (including when they provide invitee lists, attendee lists, or participant information).
- Service providers and vendors (registration/ticketing platforms, check-in providers, analytics providers, marketing and communications platforms, security providers, production vendors).
- Your employer or organization (for example, when a company organizes attendance or provides a guest list).
- Other attendees (for example, referrals, introductions, or when someone lists you as a guest).
- Marketing partners and lead generation sources (where permitted).
- Publicly available sources (such as professional networking sites or public business information), and
- Social media and online platforms (including information you choose to make available, subject to platform settings and applicable law).
5. How We Use Personal Information (Purposes)
We may use Personal Information for business and commercial purposes, including:
- Event operations and administration, including to process RSVPs/registrations, manage waitlists, issue tickets/credentials, conduct check-in, manage capacity and access controls, and deliver Event Services.
- Communications, including confirmations, reminders, updates, safety notices, event changes, and customer support.
- Attendee experience, including accommodations you request (dietary/accessibility), session and programming logistics, and feedback collection.
- Safety, security, and responsible alcohol service, including age/eligibility verification, incident response, enforcing event rules, protecting attendees and property, and maintaining a safe environment.
- Business development and relationship management, including maintaining business contact records, networking facilitation (if offered), and post-event follow-up.
- Marketing and promotions, including promoting V7, V7 Events, future events, and related offerings (subject to applicable law and your choices).
- Analytics, measurement, and improvement, including understanding registration and attendance trends, improving programming and operations, measuring performance of event pages and communications, and developing new events and services.
- Advertising and campaign measurement, including evaluating the effectiveness of marketing channels and campaigns and, where permitted, tailoring outreach.
- Security and fraud prevention, including protecting systems, preventing misuse, and enforcing policies and agreements.
- Legal and compliance, including complying with legal obligations, responding to lawful requests, establishing or defending legal claims, and enforcing our agreements and policies.
- Business transactions, including due diligence and planning related to a merger, acquisition, financing, reorganization, sale of assets, or similar transaction.
We may also combine information across different V7 Events and Event Services, and across time, to support the purposes described above.
6. How We Disclose Personal Information
We may disclose Personal Information to the following categories of recipients (as permitted by law), and we do not make any promise that disclosures will occur only when specifically identified at the time of collection:
6.1 Service providers and contractors (processing on our behalf)
We may disclose Personal Information to Service Providers/Contractors that support Event Services (for example, RSVP/registration and ticketing platforms, check-in/badge vendors, email/SMS providers, CRM providers, hosting, IT/security vendors, analytics providers, and photo/video contractors) under contractual restrictions as required by applicable law.
6.2 Co-hosts, sponsors, partners, and affiliates
We may disclose Personal Information to co-hosts, sponsors, event partners, and affiliates for purposes related to the V7 Event and associated business activities, which may include communications about the event, follow-up, marketing, or relationship management, to the extent permitted by law. These entities may use information for their own purposes and under their own privacy practices unless they are acting as our Service Provider/Contractor.
6.3 Venues and on-site operational partners
To operate a V7 Event, we may disclose Personal Information to venues/property representatives and on-site vendors such as security providers, catering/bartending teams, production/AV providers, entertainment vendors, and staffing agencies for operational, safety, compliance, and logistics needs.
6.4 Professional advisors and related parties
We may disclose Personal Information to professional advisors (for example, legal counsel, auditors, insurers) as necessary for business operations and compliance.
6.5 Legal, safety, and compliance disclosures
We may disclose Personal Information to government authorities, law enforcement, regulators, or other parties when we believe disclosure is appropriate to:
- comply with law, regulation, subpoena, court order, or other legal process;
- protect the rights, property, or safety of V7, attendees, venues, vendors, or others; or
- detect, prevent, or address fraud, security, or technical issues.
6.6 Business transfers
We may disclose Personal Information in connection with a merger, acquisition, financing, reorganization, bankruptcy, dissolution, or sale/transfer of assets, including during due diligence, subject to customary confidentiality protections and as permitted by law.
7. “Sale” / “Sharing” (CPRA); Targeted Advertising; Your Opt-Out Rights
We do not sell Personal Information for money.
However, under the CPRA, certain disclosures in connection with online advertising or analytics technologies (for example, cookies, pixels, tags, and similar tools) may be considered a “sale” or “sharing” (for cross-context behavioral advertising) even if no money changes hands. Our practices may vary depending on the Event Services, configuration, and the technologies used.

Global Privacy Control (GPC): If required by applicable law, we will process opt-out preference signals recognized by law (such as GPC) for the browser/device that sends the signal.
8. De-Identified and Aggregated Data
We may create and use de-identified and/or aggregated information for any lawful business purpose, including analytics, benchmarking, security, and improving events and services. Where required by law, we will maintain de-identified information in de-identified form and not attempt to re-identify it except as permitted by law.
9. Photos/Video/Audio and Publicity
V7 Events may be photographed, recorded, or filmed for business purposes, including marketing, documentation, security, and operational uses. Your rights and choices regarding event media may be addressed in the applicable event attendance terms, on-site notices, or separate releases, if any.
10. Cookies and Online Tracking (Event Pages)
Event landing pages and registration pages may use cookies, pixels, SDKs, and similar technologies for purposes including:
- essential site functionality and security;
- preferences and user experience;
- analytics and performance measurement; and
- marketing, advertising, and campaign measurement (where permitted).
Do Not Track: Some browsers transmit “Do Not Track” signals. There is no uniform standard for responding, and we may not respond to those signals.
11. Marketing Emails, SMS/Text Messages, and Your Choices
11.1 Email
You can opt out of marketing emails by using the unsubscribe link in the email or contacting us at Legal@Ventra7.com. Even if you opt out, we may still send transactional/operational messages (for example, confirmations, policy updates, safety notices, or event changes).
11.2 SMS/Text
If you provide a mobile number, we may send operational texts and, where permitted, marketing texts. You can opt out of marketing texts by following the instructions in the message (for example, replying STOP) or contacting us at Legal@Ventra7.com. Message and data rates may apply.
12. Data Retention
We retain Personal Information for as long as we reasonably determine is necessary for the purposes described in this Policy, including to operate V7 Events, maintain business records and relationships, improve services, comply with legal obligations, resolve disputes, and enforce agreements.
Retention periods vary depending on the data type and purpose. Unless otherwise required by law, we generally retain RSVP/registration and attendance records for a min of 1 year after the applicable V7 Event or your last interaction with Event Services, and we may retain certain information longer where reasonably necessary (for example, for legal, safety, fraud prevention, audit, or dispute-resolution purposes).
13. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect Personal Information. No security measures are perfect, and we cannot guarantee absolute security.

14. Children and Minors
V7 Events and Event Services are generally intended for adults and business audiences. We do not knowingly collect Personal Information from children under 13. If we learn we collected Personal Information from a child under 13 without appropriate authorization, we will take steps to delete it.
If a V7 Event permits minors, additional notices and consent requirements may apply and will be addressed in the applicable Event Details or on-site materials.
15. International Visitors and Cross-Border Transfers
V7 is based in the United States. If you access Event Services or attend a V7 Event from outside the U.S., you understand your Personal Information may be transferred to and processed in the U.S. and other jurisdictions where we or our vendors operate, which may have different data protection laws. Where required by law, we will use appropriate safeguards.
16. California Privacy Notice (CPRA) and Your Rights
This section applies to California residents to the extent the CPRA applies.
16.1 Notice at collection (summary)
At or before collection, we may collect the categories of Personal Information described in Section 3 from the sources described in Section 4, use it for the purposes described in Section 5, and disclose it to the categories of recipients described in Section 6. We retain information as described in Section 12. We may “sell” or “share” Personal Information as those terms are defined under the CPRA in limited circumstances, as described in Section 7, and we provide applicable opt-out rights.
16.2 Your CPRA rights (subject to exceptions)
You may have the right to:
- Know/Access (categories and specific pieces, subject to verification and exceptions)
- Delete (subject to exceptions)
- Correct inaccurate Personal Information
- Data portability (in certain cases)
- Opt out of “sale”/“sharing” (if applicable)
- Limit certain uses/disclosures of Sensitive PI (if applicable)
- Non-discrimination for exercising rights
16.3 How to submit a request
You (or your authorized agent) may submit a request by email to Legal@Ventra7.com.
We will verify requests by matching information you provide with our records and may request additional information for verification and fraud prevention.
16.4 Authorized agents
Authorized agents must provide proof of authority (for example, a signed permission or power of attorney). We may also require you to verify your identity directly with us.
16.5 Appeals
If we deny your request, you may appeal by contacting Legal@Ventra7.com with the subject line “Privacy Appeal.” We will respond as required by applicable law.
17. Other State Privacy Rights; Applicable Law
Privacy rights and obligations vary by jurisdiction. We will comply with applicable privacy laws based on the Event Services and where we operate. Where this Policy includes jurisdiction-specific disclosures, those disclosures apply as required by law.
18. Changes to This Policy
We may update this Policy from time to time. We will post the updated Policy and update the Last Updated date above, and we may provide additional notice through Event Services or by email/SMS where appropriate.
To the extent permitted by law, an updated version will apply prospectively from the time you next submit an RSVP/registration, use Event Services, or attend a V7 Event after the updated Policy is posted. If applicable law requires notice or consent for certain changes, we will comply.

20. Governing Law and Venue (Privacy Disputes)
Unless otherwise required by applicable law, this Policy and any privacy-related dispute will be governed by California law, and any action will be brought in the state or federal courts located in Los Angeles County, California. This does not limit any rights you may have under applicable privacy laws in your jurisdiction.
